Advertising
Posters
Currently the standard method of advertising. Remember to actually put them up more than two days before the event...
Student union TV screens
Something we've aways planned to do but never quite got round to is to get an advertisment on the rolling ad TV screens in the SU bar area.
Student union newspaper
The SUs paper has an events section, theres instructions on how to submit events in the paper.
sponsorship
Currently we have no sponsors, however should you become big enough, gaming related companies such as ATI and Nvidia have existing sponsorship schemes. Some local companies will also discounts on bulk orders of things like food.
Misc
Be there early
nuff said. We've almost dropped the ball before when the organisers turned up at 11am despite the advertised starting time being 10am...
make sure it works beforehand
test the game server, the router, the games before the event. The first few events we spent the first 3 hours trying to get everything working before we got a game going.
money
you may wish to charge money for the event, depending on how much it cost you to run and how many people are likely to turn up. Generally we charged a bit under £5, with a discount for booking in advance. We'd usually charge extra on the day for food, which would then be taken to sainsburys...
on the day someone needs to be responsible for collecting said money.
roles that must be filled
Someone needs to take responsibility for getting things done, otherwise they won't. One person can do several or all roles and can delegate to other people, but there needs to be someone making sure it gets done and someone people can go to when they have an issue with that area.
voice of responsibility
someone needs to be the one to talk to the venue owners, make sure health and safety is ok. Generally to make sure what needs to be done gets done and be a central point for people to come to to get things sorted.
meet newcomers at the door
people arriving will have no idea whats going on, so someone needs to show them where to sit, how to connect to the power and network, get the games installed etc.
power and physical network
someone who understands how the power system works, knows where the circuit breakers are and the layout of the power strips. Also makes sure theres enough network ports in the right places.
games admin and coordinator
someone needs to directly admin the game server and also coordinate what people want to play and getting them all into the same game etc.
food
if theres going to be food, someone needs to be on it.
money
if money is being collected for the entry fee or food, someone needs to collect it, keep it secure and keep track of who paid what. Generally done by the committee treasurer.
